Unfortunately, there is no way to prevent a natural disaster or workplace accident – and they probably happen more often than you would like to think. Insurance is necessary to recover your business after a disaster, but being properly prepared is also important to protect yourself from legal liability. Here are a few key things to incorporate into your disaster preparedness and recovery strategy.

Damage Prevention

Keeping your building and machinery in good condition is one of the best ways to prevent damage or a major accident. Make sure equipment is fixed and maintained as needed (such as regular oil changes for trucks), you have working fire alarms and extinguishers in the building, and you do not have any faulty wiring. Keep a first-aid kit somewhere that is easily accessible to all employees and make sure to have flashlights or candles available in case the power goes out.

Employee Training

Employees should be properly trained in safety, especially fire safety. This is the most common disaster that businesses face. Smoking should be banned or limited to select areas so that cigarettes do not encounter flammable materials. Make sure your employees know where the fire extinguishers are located and how to use them in case of a fire. Similarly, your employees should know where to go in case of a hurricane, violent storm, or tornado.

Emergency Plan

If a disaster or damage does occur, your emergency plan will give you the steps to recover as efficiently as possible. Firstly, copies should be made of all important records and documents. Most often these are stored on a computer so make sure your hard drive is backed up every night. Business owners should also make a list of all equipment that own; include detailed information like the type, model, and serial number of each piece of machinery or equipment. According to federal laws, failure to have these lists could make you liable for the costs of replacing them.

Recovery Plan

One of the biggest concerns after a disaster is how your business will keep running while the facilities are being prepared. Part of your emergency plan should be determining what is needed for your business to run at a different location. You may need to limit company activities and employees until the facilities are completely repaired.

Review Your Insurance Policy

You should be constantly reviewing your insurance policy as your business grows and changes. Your insurance coverage should be enough to cover all (or at least most) of the costs of damage caused by a natural disaster or accident. Insurance can also be used to help compensate for the loss of income during the period after a disaster if your business must be shut down.
